proACTION - Action Management

proAction software is our response to problems we have obsered in organizations which maintain processes related with different types of actions. By "actions" we mean activities in an organization, which are necessary to solve problems (corrective actions), prevent problems and improve. In all these cases you need to trace the status of activities, define responsibilities and gather information for future analysis. This information will also help you to create an organization based on lessons learned knowledge model.

All organizations deal with actions taken by work teams or individuals. During this process they have to handle the following issues:

  • actions are taken without prior planning
  • they are not supervised enough (lack of information on action status)
  • responsibilities are not properly assigned and even if they are, they are not well enforced
  • collected data are not properly analyzed; in result you take ineffective actions and increase the risk of reappearing similar problems in the future
  • quality analysis of problems is played down, because your organization does not have "shared knowledge"; in result you start to search for solutions which were already invented, implemented and verified in the past

Solutions offered by proACTION do not guarantee that all these problems will immediately disappear. But in combination with rising the awareness of your employees, proACTION software could be a perfect tool for data collecting and analysis and then, solving problems, taking actions and observing the results.

Basic program functionality:

  • Problem recording together with full description
    The word "problem" should not be perceived only as negative phenomenon but rather as an "issue" - something that should be done and something that could bring us some improvement or added value. This means that "a problem" is not only a customer claim, but also a production line improvement project or a series of actions related with finding a new supplier. This approach is also compatible with kaizen philosophy, which claims that even the biggest problem in an organization is an opportunity for improvement.

  • Multifunction tables
    One of the most robust solutions in proACTION are the multifunction tables. They allow you to display only necessary information and choose the order and form you prefer. These tables enable the selection of problems according to any criteria and can present for example:
    - customer claims
    - problems defined during audits
    - problems assigned to a specific person
    - problems of specific status (e.i. not started, in progress or unverified)
    - problems related with a specific customer
    - problems related with a specific area (e.i. plan, production line, department)
    - problems related with a specific process
  • Action recording and supervision
    Every problem can be linked with a list of actions and every action can have a responsible person. Using user-defined notification procedures you can notify a specific person about the status of problems and actions:
  • Problem solving team definition and responsibility assignment
    You can assign a problem solving team to each problem. The team can contain any registered program user. Every team member can have a role in the team. You can define individual notification rules for each team member.

  • Notification rules
    Team members are notified about changes in a problem solving process. Notifications are defined in reaction to user activities (e.i. problem status change, new actions taken) or because of new conditions (e.i. crossing deadline for some action)
    Notifications can be done using one or two paths: using internal message in proACTION or/and by sending an e-mail to a specific user account.

  • Problem and action status visualization
    You can choose different colors to display various statuses. This way you can fast find new, closed or in progress tasks. Categories of statuses could be defined by a user and are related with PDCA methodology.

  • User dictionaries
    Some field values could be selected from user-defined lists. For example field Customer name can take only one value from a user-defined list. This helps to standardize entered data and then to search and select according to specific criteria.
  • Language modules
    proACTION is now available in 2 language version: Polish and English. The language version is assigned indyvidually to a specific user, which is a comfortable solution in multi-language organizations. At the moment we are preparing more transtlations (Czech and German).
